Managing Assets within APEXA

If you are one of our valued MGA and Carrier clients on APEXA, you have probably been on the platform for quite some time now. Your teams have adopted and embraced a digital path for contracting, compliance and screening, invited thousands of advisors to join the platform and processed even more contract requests and action items in the system. What a journey it has been!

When you first implemented APEXA, your teams would have identified all the different contracting scenarios that impact your organization. They then would have established requirements and set up each scenario within a ‘Contract Package’. To optimize workflows and create efficiencies at all levels, it is a best practice to regularly review your assets once your users have matured with the system.

Some questions you can ask as you review your assets might look like:

  • Is there a high volume of certain requirements submitted with incorrect or missing information? If so, could it be reformatted or asked in a different way to decrease NIGO (not in good order) contracts?
  • Is this Contracting Package still required or is it no longer relevant to our processes? 
  • Do all agreements, forms and documents function as intended?
  • Are there any requirements we currently ask for outside of the system that could be requested or completed in APEXA?

Another best practice we recommend is to create and maintain an APEXA Contract Package Cheat Sheet. This cheat sheet helps the parties who facilitate contracts on behalf of your organization understand which Contract Packages apply for any scenarios they are working on. If you already have an APEXA Contract Package Cheat Sheet and it been a while since it has been reviewed, make sure that it is accurate, aligns with the assets within your APEXA profile and has been distributed to all your partner companies.
